The IntelliSurvey platform has powerful tools and features designed to streamline your data management tasks. Expand the Analyze group in the left navigation menu and click on Data Management to see the various applets available.
Below are summaries of each Data Management applet. All applets work with published data only. Click on any link to view the full article for more details.
- Change Status: Lets survey Makers change respondent IDs from one status to another, including standard statuses like 'T' (Terminate) or 'R' (Removed), or custom statuses for the survey.
- Expunge Records: Sets invalid respondents to status 'X' (Expunged) after data review. These records remain in the dataset but do not impact the number of completes or quotas.
- Mark as Test: Converts respondent IDs to manual test records, which remain in the dataset but are hidden in reports or data exports unless specific filters are applied.
- Add Data: Enables survey Makers to upload data directly into the survey dataset. This is the most versatile of the applets to manipulate data. You can choose to selectively overwrite existing fields or create and populate new fields with data. This can be done for both existing respondents and while adding new ones, and works for both closed-ended and open-ended questions, with no field limit.

Recalculate Fields: Lets survey Makers to recode existing data when option logic changes or to fill previously blank fields. It allows you to alter the data for any variable or quota using
cvalue
orselectby
tags. Multiple questions can be updated at once. - Approve/Reject: Allows users to approve or reject respondent records marked as "awaiting (approval)" in the survey dataset. This approval system is built for panels whose records must be reviewed before being fully shared with clients.
- Delete Responses: Permits survey Makers to permanently delete respondent IDs and associated data.
- Advanced Update: Allows survey Makers to update individual responses for single-select, closed-ended questions, one question at a time. Ideal for simple updates where all data is set to the same value.
