Version Notice: This article serves for both r8 and r9 versions of the software. There are subtle differences in the design, but the functionality is the same.
When saving a report on the IntelliSurvey platform, you can share it with other users, a process known as "granting user access."
Here's how it works:
- Users with the survey role Maker can view all reports within a survey.
- Other users can only see reports created by users within their organization/domain.
To add users who normally wouldn't have access, use the User Access section in the Save Report modal to designate who can view the report.
Aside from the default users described above who already have access to the reporting deliverable, you can also add a group of users by selecting their domain, or individual users by selecting their email. To provide access to a user, simply check the box next to the individual's domain or next to the individual's email.
To review or change which users have access to a saved report, you can find the report in the Deliverables applet and select User Access.
Tips
- If a client typically asks to add more users at various stages of a project, it is helpful to grant access to the client's domain so that all current and future users from that organization have access.
- When granting access to a digest, make sure the user(s) also have access to the individual deliverables contained in the digest.
- We recommend creating and saving reports that use published data. If a report is saved using a draft question set, it may affect visibility for users who can only view published data.
- Lastly, if a report uses the draft question set, you cannot grant access to new users after its permissions are set.
