Use the Email Batches applet to send a batch of messages to recipients in a contact list.
The Email Batches applet is found in the Audiences applet group in the navigation menu.
Overview
To view a batch's details and the message used, click on its name in blue text in the Batch column, or double click anywhere on the batch's row.
Use the controls on the right side of the grid to manage batches:
- Edit – Change the settings for the batch (contact list, message, filters, scheduled time and send rate).
- Start or resume – Initiate sending the batch, or resume a suspended batch.
- Suspend – Pause the batch, preventing any more emails from being sent.
- Actions Menu – Clone or delete the batch. Cloning creates a new batch with the same contact list, message, and filters.
Note: A batch can no longer be edited or deleted once it has sent any emails – the Send Status must be Pending, Scheduled, or Ready to Send. If you need to revise a batch that has already started, suspend it and use the Clone option in the Actions Menu.
Creating a batch
To create a new batch, follow the steps below.
Step 1: Select a message and contact list
From the main Email Batches screen, click the New Batch button.
On the Batch Details screen, enter a Batch Name, which serves as the unique ID for the batch. Select a contact list to send the batch to and the message to be sent. The Message Preview box will display the selected message.
Step 2: Apply filters
On the Batch Details screen, click the Filters button to control which records are included in the batch. Without any filters, the batch will be sent to all records with the 'A - Active' contact list status.
The filter options are cumulative, meaning that contact list records must satisfy all of the selected filters to be included in the batch.
- Survey Status – Use the dropdown menu to filter the batch based on survey status. The blue Tip box provides helpful combinations of statuses to select.
- Expression – Enter a logical expression that references the contact list's data fields. Type an expression into the text box, or click the wrench icon to open the Expression Builder.
- Contact List IDs – Type or paste a set of contact list IDs to include in the space provided, one per line.
Records that don't have the 'A - Active' contact list status cannot be included in the batch, regardless of the filters chosen.
Step 3: Preview the messages
On the Message Preview screen, you can view the individual messages included in the batch. Any contact list data piping in the message's subject or body is applied, so you can see exactly what each recipient will see when they open the email.
Tip! Remember that an email cannot be unsent. Use this screen as a final review of the batch's content and recipients before sending.
Use the Preview Controls to page through each message or jump to a specific message.
Step 4: Schedule the batch
On the Delivery Schedule screen, select a time to begin the email send and the rate at which the emails will be sent.
Caution! If Send now is selected, the batch will begin sending immediately after clicking Save.
