Version Notice: This article covers features in our r9/IS Pro platform. If you're looking for information on this topic related to r8, see System roles and rights.
What is a system role?
A system role grants the ability to perform a set of specific actions (also called rights or permissions) across the IntelliSurvey platform. A user may have only a single system role but may be granted various survey roles for specific surveys.
Any security role brings with it a small amount of risk. There is always possibility that a capable user may make a mistake that interrupts the smooth and secure operation of a survey. To minimize this risk, grant your users the minimum role necessary to perform their survey duties.
Tip! Can't tell a role from a right? Start reading here first. See the quick guide to user security.
Standard system roles and rights
IntelliSurvey provides a standard set of global system roles. These roles are hierarchical and cumulative: the least-privileged role has a minimum set of privileges; the next role has those privileges plus more; the third role adds a few more privileges, and so on. Here are our standard system roles, from most secure (fewest permissions) to least secure (most permissions).
For a more detailed listing of which rights are associated with each role, visit the Roles tab which contains an interactive Roles and Rights table that can be searched by role or right. The Roles tab is accessible by those with a system role of Standard Users+.
Role | Description |
Standard User | A Standard User can use the Survey Navigator and additional applets on the "Home" screen. This user can also view other users from their organization (those with the same email domain). |
Survey Creator |
The Survey Creator can create surveys. This role can also access more resources and tools related to managing a survey, such as global spreadsheets, libraries, themes, managing panels, viewing development links for a given survey, and impersonating other users. |
Team Leader | A Team Leader has the ability to manage all users and groups. This role can also assign the "add-on" survey role Encrypted Data User. |
Superuser |
A Superuser can edit and manage system resources and can edit, delete, and manage all surveys on the platform. This role can also assign the "add-on" survey role Request Sample User. A user with this role has access to all surveys and most survey data. |
System Administrator |
A System Administrator may perform any function available on the system, including changing core system and server configurations. We recommend that members of this role be used only for administration (configuring the server, adding new Superusers, etc.) and not normal software use. |
Choosing the right system role
It is often best to give fewer permissions than more permissions. Consider the tasks of the user, and then assign the role that would allow them to perform those tasks. If further permissions need to be added later, the role can always be changed. The rule of thumb is "start low and increase as needed."
Creating a system role
Only System Administrators can create custom system roles. If you cannot find a suitable default system role for your needs, contact a Support agent via our chatbot or email help@intellisurvey.com.
