What is a system role?
A system role grants the ability to perform a set of specific actions across the IntelliSurvey platform – that is, not tied to a specific survey. A system role is a collection of system rights with a descriptive name; use a role to easily assign system rights to a user and define a user's function within the IntelliSurvey platform. A user may have only a single system role but may be granted further survey roles for specific surveys.
Any security role brings with it a small amount of risk. There is always a possibility that a capable user may make a mistake that interrupts the smooth and secure operation of a survey. To minimize this risk, we strongly recommend that all users have the least privileged role that provides the permissions necessary to perform their duties.
If you cannot find a suitable default system role for your needs, contact a support agent for assistance.
Tip! Can't tell a role from a right? Start reading here first. See the quick guide to user security.
Standard system roles and rights
IntelliSurvey provides a standard set of global system roles. These roles are hierarchical and cumulative: the least-privileged role has a minimum set of privileges; the next role has those privileges plus more; the third role adds a few more privileges, and so on. Here are our standard system roles, from most secure (fewest permissions) to least secure (most permissions).
Tip! For a more detailed listing of which rights are associated with each role, use the Roles applet, which contains an interactive table that can be searched by role or right.
Role | Description |
Minimal User | A Minimal User can log in, follow links to specific saved reports, and access the Survey Dashboard as well as minimal components of the Home screen. |
Create Survey from Template User | A Create Survey from Template User will generally be creating a survey via a template. |
Standard User | A Standard User generally looks at data for a survey. They may also be given greater responsibilities in specific surveys: e.g., QA survey, edit survey, etc. |
Survey Creator |
A Survey Creator may do everything a Standard User can, as well as create and edit surveys. The Survey Creator has greater access to system tools like global spreadsheets, libraries, and themes. Their HOME screen adds a server monitor tile and buttons for survey creation, source search, and access to system-wide features like libraries and users. Survey Creators can also create and invite new users. This breaks a bit from the simple "just create surveys" role, because we find that survey creators are also typically Survey Managers. |
Team Leader | A Team Leader has all the permissions and responsibilities of a Survey Creator, with some ability to go beyond their assigned survey responsibilities and affect surveys, users, and other resources server-wide. The Team Leader has the same HOME as a Survey Creator but has more available actions (live buttons) within each area. |
Superuser | A Superuser may do everything a Team Leader can do. They can also fully edit and manage system resources as well as manage all users. |
System Administrator |
A System Administrator may perform any function available on the system, including changing core system and server configuration. A user with this role has access to all surveys and survey data. We recommend that members of this role be used only for administration (configuring the server, adding new Superusers, etc.) and not normal software use. |
Choosing the right system role
It is often best to give fewer permissions than more permissions. Consider the tasks of the user, and then assign the role that would allow them to perform those tasks. If further permissions need to be added later, the role can always be changed. The rule of thumb is "start low and increase as needed."
Creating a system role
Only System Administrators can create custom system roles. If a custom system role is required for a particular situation, contact a System Administrator for assistance.
