Adding required IDs is a security feature to help limit respondent access to a survey. Enabling this feature requires that a survey respondent's unique ID, as defined by the link he or she uses to access the survey, matches one of a predetermined se t of IDs that is already added to the survey. By requiring this, anybody who has not received a unique invite link featuring one of these IDs will be unable to access the survey.
While IntelliSurvey has other built-in mechanisms which track and prevent duplicate respondents, enabling survey IDs takes this a step further: each respondent's invite link features the unique ID, and only matching IDs are allowed in, so it is nearly impossible for a non-authorized user to create another functional survey link. The passcodes that respondents use should be any of the generated or loaded IDs.
To access Required IDs, open the Sample button group in the Survey Navigation menu, and click Required IDs.
Creating and managing survey IDs
Note: Requiring matching IDs is a three step process.
- First, the IDs must be created. Creating IDs does not automatically require that survey records have a matching ID.
- Second, at least one group of IDs must be activated.
- Lastly, enforce the ID requirement by clicking on the Unenforced button in the right-hand corner of the banner. The button will change its display to read "Enforced" with a locked icon once applied (to remove this requirement, click the Enforced button).
Survey IDs are organized into groups. Different groups can co-exist within the same survey, and they can be activated and deactivated independently of one another.
The default view for the Required IDs application is the Manage Grid. The Manage Grid has six columns. These are:

Active Status | Indicates whether or not the group is activated. Clicking on this symbol also toggles the group between the Activated and Deactivated statuses, represented by a green or red "Power Button" symbol, respectively |
Upon initial access of the IDs applet, there will be no sets to manage. To add IDs, click the New button in the upper right-hand corner of the banner, and choose from among the three ways to create a set of IDs: Generate, Upload, or Link.
Generating IDs
To use the application interface to generate IDs, enter the number of IDs to add. Also specify the length of the IDs, which is the number of alphanumeric characters each ID is comprised of.
After specifying the number and length, click the Generate IDs button. Navigate back to the Manage Grid by clicking Manage to view the ID group.
Uploading IDs
Supply an Excel file via the Browse button, as well as a description of the group of IDs.
The file must be in the Excel format, and contain a single column labeled 'id'. IDs must be alphanumeric, and non-repeating.
Navigate back to the Manage Grid by clicking Manage to view the ID group.
Link to contact list
If the survey has contact lists associated with it, the IDs from a contact list can be used as the Required IDs. This limits access to respondents on the list. If selected, a dialog box appears, prompting for a list to be selected.
Select a list from the pulldown menu and click Link to create the new ID group.
Actions
The Actions menu performs a given function on the ID group selected in the Manage Grid. To activate the Actions menu, click on the ID group with which you want to perform the action. The functions included here are Download, View, Deactivate, and Delete.
Download
This downloads the selected group of IDs as .txt text file.
View
This launches a view displaying all IDs in a list. To go back to the Manage Grid, click Manage in the upper right-hand corner.
ID Groups may also be viewed by double-clicking on them in the Manage Grid.
Activate
This activates the selected ID group. With IDs activated, respondents without an ID specified in an activated group will not be permitted to take the survey. If the ID group is already active, this button will change to displaying "Deactivate".
ID groups may also be activated or deactivated by clicking on the Active Status icon. A modal will appear after, confirming that the group was either activated or deactivated.
Delete
This removes the ID group entirely from the survey. A dialog message prompts the user to confirm.
